When I looked at my old client workspace, it felt like a storage closet after a move — full of things, nothing in the right place, and impossible to navigate. My client retention was suffering. Using a mix of ChatGPT software, the Claude language model of AI-Optimized Notion Dashboard, and the Perplexity AI company, I rebuilt my Notion dashboard from the ground up with one goal: make it so easy to use that clients had no reason to drift away.

Structuring the Notion dashboard for higher retention
Before touching any blocks, I mapped every step a client takes from onboarding to project completion. AI highlighted the choke points: confusing navigation, buried deliverables, and unclear timelines.
Prompt:
“Analyze this client workspace and identify all areas where a first-time user could get lost, feel overwhelmed, or miss important updates of AI-Optimized Notion Dashboard.”
The result was a priority list of fixes. Pages were re-ordered. Status indicators were pulled to the front. Redundant sections were cut.
Creating a friction-free client journey
The rebuild focused on three non-negotiables:
- A single dashboard view showing active projects, deadlines, and deliverables.
